What you need
- An Omrade workspace, and someone who can change its settings.
- A HubSpot user who can install apps: a super admin, or a user with App Marketplace access.
Connect HubSpot
- In Omrade, open Settings and find the HubSpot section.
- Choose Connect HubSpot. HubSpot asks which account to use and lists the permissions the app needs.
- Approve the install. HubSpot sends you back to Omrade, and the HubSpot section shows Connected.
While it connects, Omrade adds the properties it needs to your HubSpot account (see what the app adds). If that step is interrupted, choose Finish setup in the same section to run it again.
Call recordings
- Open the contact in HubSpot.
- Upload the recording to the contact's Omrade call audio property.
That's all you do. Omrade downloads the file, transcribes it and writes a summary. Then it logs a call on the contact, with the summary, the outcome and any action items in the call notes and the transcript attached as a text file. If the contact isn't in Omrade yet, Omrade adds it.
Once Omrade has the file, it empties the Omrade call audio property, so the next recording can go in the same place.
The contact's Omrade processing status property shows how it's going. It reads Processing while Omrade works on the file and Processed once the call is logged. If something goes wrong it reads Failed, followed by the reason. If the recording is too short to transcribe, or transcription fails, the status says so and no call is logged.
Omrade accepts AAC, FLAC, M4A, MP3, MP4, OGG, WAV and WebM files.
Contacts
In the HubSpot section of Omrade's settings, Start sync preview compares your HubSpot contacts with the ones in Omrade. The preview sorts them into Updates, New contacts, Skipped and Errors, and shows every field that would change. Nothing is saved until you choose Commit changes. Discard throws the preview away.
By default the preview covers only contacts that are already linked between HubSpot and Omrade. To bring in the rest, tick the option to include new contacts before you start. On a large HubSpot account that can be thousands of contacts, so read the preview before you commit.
When both sides have a value, HubSpot's value wins. An empty field in HubSpot never erases a value in Omrade.
Companies
Companies in Omrade that have a Google Maps place ID can go into HubSpot as company records, using Sync to HubSpot in Omrade's company import. Each company carries its place ID, so syncing it again updates the same HubSpot record instead of creating a duplicate. Companies without a place ID aren't synced.
Deals
An Omrade automation can record an opportunity as a HubSpot deal. The deal carries the opportunity's Omrade Record ID, so running it again updates the same deal instead of creating a duplicate. New deals go into the default stage of your default pipeline.
What the app adds to HubSpot
- Two contact properties: Omrade call audio, a file property for recordings, and Omrade processing status.
- Company properties: Google Maps Place ID, plus a few whose names start with Omrade, such as Omrade Source and Omrade Category.
- A deal property: Omrade Record ID.
- A call on the contact for each recording, with its transcript file.
Permissions
HubSpot lists every permission before you approve the install. Omrade uses them to read and update contacts, companies and deals, create the properties above, download recordings, upload transcripts and log calls. The app doesn't ask for access to sensitive data.
Disconnecting
In Omrade, choose Disconnect in the HubSpot section. That uninstalls the app from your HubSpot account and stops all syncing, and HubSpot emails your admins to let them know. You can also uninstall Klackeri from HubSpot's connected apps page.
Contacts, calls and companies already in Omrade stay there. To have them deleted, email support@klackeri.com.
